What to Expect
There are many forms our consulting can take; onsite technical services, onsite management of process improvement, offsite technical services, etc. We will need access to your highest level Executives, Senior Management, front-line managers and staff. We will help each learn what to expect from the process and how to tailor the system to their needs. Working with your Executives, we’ll establish templates to meet their expectations from Senior Management to the deepest levels they wish to reach. We’ll show them how they can glean information from the system to know that the direction they set forth is understood and acted upon appropriately. We’ll then work through the organization to assist each level in identifying the expectations from above and the expectations for those they’re responsible for and how those best break out into templates and reports. We strive to be as non-disruptive as possible, but process improvement takes time and effort. We’ll help you get there! Our consultants, whether onsite or off, can also be contracted to perform quality assurance on your data. With our trained eye, we can evaluate your templates to ensure the expectations are being communicated correctly. We can also spot issues early on where clarification will help the organization save time and money.
What You Need
You will need to find the time within the busy schedules of your senior most leadership to identify their expectations of the system, of the organization, and of the consultants. Spending time up front thinking about what gaps you’re trying to fill, what questions you wish to see answered on a regular basis, etc. will help minimize the amount of time we need to spend with the senior management. We’ll also need time with your staff to train but this is minimal and can be done in large groups or via web casts. The majority of our time will be spent with your middle management where the expectations of your senior management and the day-to-day issues of performance come together.
Recommendations
Large organizations should carefully consider multiple onsite consultants at the outset with a firm exit strategy. A technical implementation team may be onsite for only a few days or a week while a process implementation team may be onsite at the same time working with management to determine in what order to implement the Status Reporting Tool, how many consultants will be needed to work with the organization over time to achieve the implementation plan, etc.
All organizations should consider offsite consulting. While a support contract will give you access to our resources for issues that arise, offsite consulting is an effective means of maintaining the highest quality in your data and process. For example, we called one manager’s attention to an entry made early in a reporting period (remember, individuals can enter their data frequently during a reporting period). An employee had noted that they had “tested patch 3.0.2.1 which will bring the data warehouse up to level 3.1.1″. Because we pointed it out to the technical manager who was at a conference that week, the company was able to avoid a release disaster where the documentation did not match the release. In this particular case, our professionals realized that this was not a typo, but an indication of a disconnect. When pointed out, the manager was able to make one phone call and determine that there was a problem that needed addressing then and there. The company was able to avert reprinting literature which initially contained erroneous information. More importantly, the manager recognized a problem with the release process and move to implement process improvement.
Additionally, we highly recommend that large organizations purchase annual support contracts – and not because they benefit us, but because they benefit you! Annual support contracts ensure that you’re kept up-to-date with every update that we produce for that version. For example, if you license v2.0 and we put out 2.1, 2.2 and 2.3, you receive all three updates at no additional cost. We also focus on the business requests of our annual support holders first as we know they’re committed to the process of improving their organization.
